About the Role

Waterfront Private Hospital is a premium, independent private hospital in Edinburgh, specialising in cosmetic and reconstructive plastic surgery, skin surgery, and dermatology. We are known for delivering high-quality, patient-centred care in a calm, professional, and discreet environment.

We are now seeking an experienced and highly organised Patient Administrator to join our administrative team. This is a key patient-facing role, central to the smooth day-to-day running of the hospital and to ensuring an excellent experience for our patients from first enquiry through to follow-up care.

This role would suit someone who takes pride in professionalism, attention to detail, and delivering a consistently high standard of service in a healthcare setting.

Key Responsibilities

The Patient Administrator will be responsible for a wide range of administrative and patient-facing duties, including:

  • Acting as a first point of contact for patient enquiries by telephone and email

  • Booking, scheduling, and confirming consultations and surgical procedures

  • Coordinating closely with consultants, nurses, and fellow administrative staff

  • Maintaining accurate patient records in strict accordance with GDPR and confidentiality requirements

  • Processing patient payments, issuing receipts, and accurately recording financial transactions

  • Assisting with surgical bookings, managing consultant and theatre diaries

  • Sending pre- and post-operative documentation and arranging follow-up appointments

  • Welcoming patients to the hospital, checking them in, and ensuring they feel informed and supported

  • Carrying out general administrative duties including filing, scanning, and record management


Essential Skills & Experience

  • Previous experience in an administrative or patient-facing role

  • Excellent written and verbal communication skills

  • Strong organisational skills and attention to detail

  • Confidence using Microsoft Office and electronic record-keeping systems

  • Clear understanding of confidentiality, discretion, and GDPR

  • Ability to work independently while contributing effectively to a small team


Highly Desirable

  • Previous experience in a healthcare, medical, or private hospital/clinic setting

  • Experience dealing with patients and handling sensitive information

  • Familiarity with appointment scheduling and clinical diaries
